12.0 Definitions & Classification of Employees

12.1 Definitions

  • Employee — any person employed by the Institute in any teaching or non-teaching capacity.
  • Faculty — those engaged in regular Instruction, Research, Projects, and academic-related activities.
  • Staff — those in administrative assignments supporting core academic work, including technical support roles.
  • Establishment — all Schools/Centres & Departments of the Institute.
  • Habitual — anything done thrice within 3 consecutive calendar months.
  • Month — a calendar month (English calendar).
  • Premises — Institute buildings, owned land/compounds, and any place of Institute work, including residential accommodation provided by the Institute.
  • Registrar — the duly appointed Registrar, or anyone authorized to exercise Registrar functions.
  • Institute — SRM Institute of Science and Technology (main campus and other campuses).

12.2 Classification

Employees are classified as: (a) Apprentice/Trainee (b) Casual (c) Probationer (d) Permanent (e) Project Employee (f) Temporary (g) Contract

Definitions:

  • Apprentice/Trainee: engaged in learning work; max 1 year (technically qualified, subject to evaluation) or 3 years (others); training completion doesn't guarantee employment; may be paid a stipend.
  • Casual Employee: for unexpected/unforeseen/occasional work, not likely to continue.
  • Probationer: engaged for permanent employment for an initial 12 months, extendable by VC/Registrar; remains on probation until confirmation/discharge letter issued; if moved to a different post on probation, may revert to previous permanent post terms if not confirmed.
  • Permanent Employee: employed permanently, confirmed in writing by the Registrar (or authorized officer) after satisfactorily completing probation.
  • Project Employee: employed for a specific project for a specified period.
  • Temporary Employee: for essentially temporary work or a project, until completion.
  • Contract Employee: employed via a manpower contractor or by the Institute on contract for a specific period.

12.3 Appointment/Transfers etc.

Selection/recruitment based on merit and equal employment opportunity; no discrimination against appointees on any grounds.

12.3.1 Recruitment Procedure

  1. Vacancy notified to Registrar Office by Deans/Section Heads with a Manpower Requisition Form.
  2. Form scrutinized against forecasted workload; final sign-off by Pro-VC and VC; processed by Registrar's Office.
  3. Advertisement: Registrar Office coordinates advertising in newspapers and the SRMIST website.
  4. Acknowledgement: Applications received by post/email/in person, acknowledged automatically.
  5. Scrutiny and Screening: Selection committee shortlists eligible candidates for interview.
  6. Interview Schedule: Finalized by Registrar's office with VC and Pro-VC.
  7. Call for Interview: Eligible candidates notified (email/phone) of date/time.
  8. Selection Committee: Constituted by the VC per UGC norms.
  9. Verification of Certificates/References: Done before interview; authenticity checked.
  10. Interview Process: Senior faculty assess subject knowledge, presentation, communication skills.
  11. Offer of Appointment: HR interview conducted; candidates ranked; appointment orders issued to top candidates.
  12. Acceptance: Candidate signs the provisional appointment order and reports on the specified date, or informs the Registrar/Dean/Director/Section Head in writing if unable to.
  13. Failure to Report: If a candidate fails to report within the timeframe, the next-ranked candidate is considered. Appointment order valid only 3 weeks from issue unless otherwise notified.

12.3.2 Procedure for New Recruits

Every new employee shall:

  1. Submit to the Head of Faculty/Office: a. Joining Report b. Original degree certificates, marks cards, experience certificates (returned after verification) + photocopies c. Two recent passport photos d. Application for ID card and bank account (with PAN) e. Fitness Certificate from SRMIST Health Centre f. Relieving order from previous employer
  2. Take charge of materials/files from predecessor/Deans/Directors/Section Heads; report to the Registrar's Office via the HoD/Dean.
  3. Encourage research and assist academic activities.
  4. Furnish personal/professional details via a link emailed by the Registrar Office.
  5. Undergo an induction programme (organized by Director, Faculty Affairs, or the department).
  6. This procedure applies to all appointments.

12.4 Probationary Period

Normally one year from the date of joining, unless otherwise notified.

12.5 Appointment

i. No one is deemed employed at SRMIST without a letter of appointment (except casual employees). ii. Address and any change must be notified in writing to the Registrar. iii. Employees must furnish, immediately on appointment, satisfactory evidence of date of birth, Aadhaar card, PAN card, highest qualification, and experience certificate. iv. All recruitment is subject to a fitness certificate from SRMIST Health Centre doctors; SRMIST may require medical examination at any time; employment may be terminated on medical grounds for infectious disease or prolonged unknown-cure ill health. v. Employees terminated on medical grounds aren't eligible for re-employment until found satisfactory/non-infectious at two consecutive tests, three months apart.

12.6 Address & Date of Birth

i. Requests for date-of-birth changes aren't entertained after one year of appointment.
